How to: Create Anonymous User Access Link for Individuals and Teams

Access courses anonymously!

Anonymous access allows participants to experience the training without signing in or providing personal information.

What is it?

  • Anonymous users: Participants and team members access the course without signing in and providing personal information.

    • Currently, the only way to access our system without a login (email + PW) is to create an anonymous link through the dashboard.

  • Benefits

    • Easy Individual and Team access via direct URL

    • No personal data is collected (which also means no tracking or bookmarking for the session).

    • Data collected and viewable via Dashboard (to Admins + Facilitators): Progress status and answer choices are still collected, however, everyone shows up as an “Anonymous User” on Decision Report and Author-created reports. No personal information is available.

  • Tradeoffs

    • No user tracking or bookmarking for the session because no personal data is collected

    • A session must be created in the dashboard - You cannot do BOTH Anonymous and Sessionless at the same time. Anonymous can track how many people have logged in, but sessionless cannot.

  • Admins or facilitators can generate a unique access link using Session Actions within the session. (instructions below)

Creating your Anonymous Users Access Link

DIY Steps: Asynchronous

First, in your project in Studio...

  • The “Settings” in Studio are used to indicate which type of log-in the project supports/allows.

    • To enable anonymous access, you must first enable it through the settings in Studio under “Sign in settings”

    • Set the toggle on for Individual and also for Anonymous users.

    • Ensure to publish the course to capture these setting changes.

NOTE: In order for your project to show up in the dashboard, both of the following need to be true:

  • The project needs to be located in the public enterprise folder in Portal, and

  • The project needs to have been pushed to a public release in Studio

Next, in Dashboard...

  • Create a new session in the dashboard for your project and make that session an anonymous session by toggling “Enable Anonymous Access” to ON (orange toggle).

Generate a unique access link

After enabling and saving the session, the admin or facilitator can generate a unique access link using Session Actions within the Session.

  • Open the session and the anonymous link can be viewed under the Session

  • Choose “View Anonymous Access Link” and a pop-up box will appear.

  • This creates an anonymous access link to copy and share with the participants.

  • Each anonymous user will be displayed on the dashboard as an Anonymous User.

Participant Anonymous Login

The unique anonymous link is shared with stakeholders or learners to take the course.

Participants launch the URL, they see a Sign In modal that displays the project name and the name of the sim.

Select Sign In to launch the course.

NOTE: If the participant logs in via their SSO, they will see the same screen as above in step 4.


DIY Steps: Teams

First, in your project in Studio...

    • Set the toggle on for Team and also for Anonymous users.

    • Ensure to publish the course to capture these setting changes.

Next, in Dashboard...

  • Create a new session in the dashboard for your project and make that session an anonymous session by toggling “Enable Anonymous Access” to ON (orange toggle).

    • Toggle ON Participants can create new teams.

    • Enter the maximum number of teams.

    • Choose Save

  • Open the session and the anonymous link can be viewed under the Session

  • Choose “View Anonymous Access Link” and a pop-up box will appear.

  • This creates an anonymous access link to copy and share with the participants.


Team Anonymous Login

The unique anonymous link is shared with teams to take the course.

Participants launch the URL, they see a Sign In modal that displays the session and project name.

Select the New Team button.

Enter the Team Name and select Create and Sign In.

The Team is then added to the Dashboard.

NOTE: All teams that have been created will now be seen in the Team dropdown (after the first team has been created).

  • Only ONE user should be assigned to log in on behalf of a Team.

  • When signing in, the 'Team Lead' should NOT select a team from that dropdown but create their own.

MAX # of Teams

If a maximum number of teams is set in Settings and that maximum has been met, when a participant tries to create a new team, they will see the message ‘This session has reached the maximum number of teams’.

To remedy this, you can adjust the settings by editing the session details.
