Overview: Data Export Builder

Updated over 2 months ago

Create custom data exports and download an API key for integration with BI tools like Power BI.

Purpose

  • Enable seamless access to learning data by integrating with BI tools through the API.

  • Export key insights in formats like Excel, CSV, or JSON to support performance tracking and data-driven decisions.

To Access and Set Up the Export Builder

  1. Navigate to the Dashboard.

  2. Click on Reports in the Dashboard menu.

  3. Find Export Builder, and click View Export Templates to open

  4. From the dropdown, choose the Project you want to export data from. Users must select a project before interacting with templates

  5. Click Add Export Template.

  6. In the popup modal, enter the following details:

    • Template Name

    • File Name

    • File Format (choose from: .xlsx, .json, or .csv)

      1. Note: If you select .xlsx you will be able to protect the Excel with a password upon download

  7. Click Create Template

Then select which format you’d like your data to be in: Team-based format or Flow-based format

  • Team-based format: Starts with a list of teams or participants, then lets you add columns for the decisions you want to track

  • Flow-based format: Allows you to select specific rounds, states, and decisions, and automatically adds columns for each participant

Building the Data in Your Template

Once you select a report format—Flow-based or Team-based (you can switch formats at any time)—you can begin pulling in the data you want to include.

  • In Flow-based reports, you can add rows to include more data.

  • In Team-based reports, you can add columns to include more data.

You can choose data from either the Rounds or Global sections:

  • Click the "+" sign next to Rounds or Global to add all available data from that section.

Or, click directly on Rounds or Global to pick and choose which specific data to include.

When selecting from Global, you’ll have access to the following categories:

  • Scoring Model – includes any data metrics from your scoring model.

  • Interface

  • User – includes User ID or Email, First Name, Last Name, Last Login, Region, Session, and Team ID.

Course – includes Completion Status, Final Score, and Pass/Fail status.

Click the Save icon to save the version of the template you’ve created:

💡 Note: The Save icon lets you save a version of the template you've created. However, any changes you make within the template are automatically saved as you go.

Once your template is created, you’ll have options to:

  • Download the exported file.

    • Each template has a "Download" button that opens a download dialog. The download dialog allows the user to:

      • Enter a name for the export file

      • Select an export format (Excel, CSV, or JSON)

      • Enter a password if they want to encrypt the file (Excel only)

      • Start the download with a loading spinner in the dialog

  • Get an API Key to connect with BI tools

    • Clicking "API Export" opens a modal with:

      • An API link

      • A button to generate an API key

      • Instructions for using the API & auth token (for BI tools)

      • Clicking "Generate API Key" copies it directly to the clipboard without displaying it.

  • Edit the Template

    • Click the pencil icon to update the file name or change the file format

    • Click the chart icon to choose the export format:

      • Team-based format: Starts with a list of teams or participants, then lets you add columns for the decisions you want to track

      • Flow-based format: Allows you to select specific rounds, states, and decisions, and automatically adds columns for each participant

    • Delete the Template by clicking the trash can icon (Note: only Admins can delete templates)

    • After selecting an export format, click the table icon again to customize the column order.

      • You can drag and drop rows to rearrange the columns as needed.

      • You can also switch between the Team-based and Flow-based formats at any time.

FAQ

Why don’t I see any data in my report?

  • If a project is deployed using a session-less link, no data will be collected or available for reporting.

  • If a project is deployed using an anonymous session, only aggregate data will be shown. This means you’ll be able to see overall metrics, but no user-specific data (like names, scores, or progress) will be available.

Why can’t I delete a template?

  • Only admins can delete templates; facilitators cannot delete templates.

Can I copy a template I created?

  • Yes, you can copy a template creating a new version with "Copy of {Template Name}" as the default name. Templates are project-specific and cannot be moved or copied between projects.
