Configuration Settings
To access the facilitator visit feature through the session dashboard, the following steps must be completed:
Set up the session for the course.
Add a facilitator to the session.
In Studio settings, enable the "Session Visit" feature.
Visit a Learner
Once the configuration settings are completed, the facilitator can visit the learner's session by following the outlined steps below:
When the visit feature is enabled, a facilitator (or any session admin) will see a "Visit" column in each team or learner’s row on the session dashboard.
The facilitator clicks the blue arrow button to “visit” the learning experience.
The learner’s learning experience opens in a new browser tab.
The facilitator sees a warning message, notifying them that they are about to enter a live learning experience.
The facilitator can either click “Continue” to visit the learning experience or “Return to the Dashboard”.
If the facilitator clicks “Continue”, they are taken into the live learning experience, where they will only see activities that the author has designed for them.
The facilitator will see a green-line overlay, indicating they are visiting a participant. The overlay also displays the name of the participant they are visiting at the bottom of the screen.
After finishing the visit and returning to the dashboard, the facilitator will see a green check mark, indicating they have visited that learning experience.
Once the facilitator advances teams or learners to a new state, the checkmarks will turn back to blue.
Visit Feature Details
Access to Visit Feature
On the dashboard, the visit feature is only accessible if:
The user is a super admin, region/project admin, or facilitator of the session, and
The project has the "Session Visit" enabled in the latest published release within Studio settings.
Visit Button Activation
The visit button on the dashboard is clickable only if the team has started the simulation. If not, the button will appear greyed out and non-clickable.
Visit Button States
If a facilitator has not yet visited the team in their current state, the button will display a blue arrow.
If a facilitator has made a visit in that state, the button will display a green checkmark.
Dynamic Button Changes
The visit button will automatically change based on the team's progress in the session. For example, it may switch from a green checkmark to a blue arrow if the team advances in the course, requiring a new visit. Similarly, it may change from grey and disabled to a blue arrow once the team starts the course.
Resetting Visits
Resetting a participant will also reset the visit status from facilitators.
Multiple Facilitators
Multiple facilitators can visit the team, but the dashboard will record only the first visit as marking the session as completed.
Unlimited Visits
Facilitators can click the visit button or open a visit URL multiple times, with no limit on how many times they can enter the simulation.
Facilitator Warning Message
When opening the simulation for a visit, facilitators will always see a warning message they must acknowledge. The message reads: "You are about to enter a live learning experience. Please note that any changes you make will directly affect the participants' experience and their scores," reminding the facilitator that their actions are recorded and impact participants directly.

Who has permission to visit the learning experience?
Anyone who has access to the session dashboard will be able to use the visit feature. This includes a super admin, region/project admin, or facilitator.
How will the facilitator know when to visit the simulation?
The facilitator guide should include instructions on the appropriate State for the facilitator to visit. While facilitators can visit at any time, it's important that they do so at the right moment—such as when learners are in a wait state. The timing of the visit will depend on the design of the learning experience and the guidance provided by the learning experience author.
Why is the Visit column not showing up on the session dashboard?
Make sure you have the “Session visit” enabled from the Studio settings.
How many times can a facilitator visit a learning experience?
A facilitator can click the visit button or open a visit URL multiple times and are not limited in how many times they can visit the sim.
How can I tell how many times a facilitator has visited an experience?
Currently, there is no report available that provides that information.
